1. Prepare your artwork (your logo design).

Complete details are provided in the video above; in general, however, artwork should be created using an illustration program such as Adobe® Illustrator® and saved in vector format such as an .AI or .EPS file. To reproduce well, the artwork should be crisp and clear with a resolution no less than 300dpi.
Please Note: If you need help to create your logo in vector format, most local print shops will be able to assist you. Be sure to print out the artwork information sheet (click on the "Artwork" tab above) to take with you to the print shop.

2. Select the product(s) you want to hot-foil stamp.

On the product page of any item that's hot-stampable, you will see a checkbox for "Add Hot Foil Stamp Service" in the "Add to Cart" area. Check the box and then click "Add to Cart." This will launch our five-step process for ordering your hot foil stamping service online (and it will be submitted at the same time you place your order for the product!). If you forget (or change your mind) and want to take advantage of Rio Grande Impressions™ hot foil stamping service after an item is in the cart, no problem; you will see the option shown in your cart, too. Click the option, and you can go from there.

3. Follow the easy 5-step process.

Through our five easy steps, you will fill in the necessary information, upload artwork (if needed), and be ready to submit your order. We'll take it from there, it couldn't be easier! Once we make sure the artwork provided will deliver the quality result Rio Grande is known for, we'll carefully hot foil stamp your items and ship them to you; as soon as we can, usually around 2–3 weeks. And then your brand will be making a more lasting impression on your customers!
Please Note: Although we process orders as quickly as we can, depending on the size of the order and number of orders being processed at any given time, processing time may take longer than 3 weeks to ensure every order meets our (and your) standard of quality.

Hot Foil Stamping Service Charges

All items on your hot foil stamping order (except totes) are combineable to get the best quantity price break per order. Once created, your plates are safely stored, free of charge, here at our facility, where they are protected and conveniently at hand, ready to hot foil stamp your next order and get it to you quickly.

Please Note: Stored plates that lie unused for two years are recycled.

Service Charges

Rio will produce the text of your choice in block lettering, or you can provide us with your own logo or custom artwork. When ordering custom tags with your lettering or artwork on one side, you can choose to have us quality-mark the reverse side of your tags without an artwork set-up charge (engraving/service fee still applies). Available quality marks are "Sterling," "14k," "14karat," ".925" or ".925AS" in block font.

  • A one-time fee of $45 is charged for artwork set-up.
  • A minimum purchase of 10 packages per tag style is required.
  • Laser-engraving service charge applies (see below). Deeper price breaks are available for larger quantities.
  • New orders will be shipped in approximately 2 weeks after final approval of artwork.
  • Subsequent orders will be shipped in approximately 2 weeks from the date of order and incur no additional artwork set-up fees.

Use Impressions™ to custom imprint your service tickets and remind customers where they had that quality work done! Our block-lettering imprinting service adds your name to each Trak-It Ticket® or layaway ticket— it’s a great way to keep your name in every customers’ hands. Provide up to four lines of text (your name, address, e-mail address, website or other information) and we will imprint it in block letters on the bottom of each of your forms. Maximum area for custom imprinting is 3"W x 5/8"H. Choose either red or black ink. Use Rio Grande Impressions™ service to order custom marking stamps or stamp inserts that carry your name or logo. Then personalize your designs with your custom stamp—or create quality tags that you attach to your designs—and keep your business top of mind with your customers for years to come. All stamps are made in the USA.

2. How To Order

Please Note: Ordering this service begins online but cannot be completed online.

1.Create your artwork file (see guidelines in the 'Artwork' tab above) for the design you want your stamp to have. This could be your logo, your name, or any other design you choose to use.

2. Download the Rio Grande Custom Stamp Size Verification sheet; it is a .pdf file. You can open the downloaded .pdf file using Illustrator, Photoshop or other software that allows you to edit .pdf files.

On the Stamp Size Verification sheet, please enter your Account ID and Account Name where indicated. Copy the artwork you created into the .pdf, placing one copy in the area marked "Enlarged Artwork" and a second copy sized to fit inside the sample box (containing mm sizes) that is appropriate for the size stamp you want to customize. Save the completed .pdf file.

Please Note: If you do not have access to the software listed above, there are a few options for you:

• You can upload the Stamp Size Verification sheet to a third-party service such as pdffiller.com and edit the .pdf using that website's online tools (Important: Rio Grande does not have any connection to such websites, and there will likely be a usage or membership charge for using the services offered by these sites).

• You can take the .pdf file along with your artwork file to a local print or design shop that offers these services and have the work done for you.

• You can take advantage of free, full-featured open-source graphics programs available on the web. Examples include GIMP-Photo editing software www.gimp.org and InkScape-Vector drawing software www.inkscape.org/en.

3. Fill out the Impressions™ contact form, and upload the saved .pdf file of your Stamp Size Verification sheet using the updload option on the contact form. The form includes space for you to add any special instructions you may have for your stamp.

4. Email the Impressions™ contact form to our Impressions team at impressions@riogrande.com. Once we recieve your email, we will contact you to place your order. Custom marking stamps are normally delivered 5–6 weeks after the order and details are finalized.

3. Why Does It Matter: Straight Shank or Bent Shank?

It matters very much whether you choose a straight or bent shank stamp!

Bent stamps provide great access to the inside of ring shanks and have domed tips that are ideal for curved surfaces (such as the inside of ring shanks); they are not suitable for marking flat surfaces.
Straight stamps have straight, flat tips, just what you need to mark flat surfaces such as quality or hallmark tags; they cannot properly mark curved surfaces.

General FAQs

Can I rush my order?
The processes are already as 'rushed' as we can make them; you can, however, select an expedited shipping method at your discretion.

What do I do to get started?
Visit our Impressions page. You'll see a tab across the top for each of the services we offer. On each tab, you'll find information about what items are suitable for that service and how to go about ordering the product and the Impressions service you want.

Please Note: The product you select AND the Impressions order must be sent to us together (you cannot order the items and later decide to have them personalized with Impressions services). An email containing the information outlined on the tab for each service tab is the most effective way to start. If you have questions, check out the FAQs offered here, send us an email to impressions@riogrande.com, or give us a call. We'll be happy to answer any question you have.

What do you mean by "Artwork should be created using an illustration program such as Adobe® Illustrator®"?
Adobe Illustrator is a drawing software developed by Adobe® Systems for representing single-page vector-based drawings. A 'vector format' means that the drawing or graphic is plotted out in lines or paths that lead through specific locations within the design called 'control points.' An image or design saved in a vector format can be sized up or down without losing its resolution and clarity because the control points maintain their positions relative to one another as the size is scaled up or down.

Hot Foil Stamping

What is the preferred format for art submission?
Please see the 'Artwork' tab on our Impressions page; it contains detailed information on what criteria needs to be followed.

Can I just give you my business card?
No; to create a quality plate, we need original, high-resolution artwork. You can contact the company that created your business card for a file of your artwork.

Can you create the logo for me?
Unfortunately not; we don't have the staff at this time to do that work. A local print shop may well offer the service at a reasonable fee. Be sure to provide them with a copy of the artwork information sheet.

Where do I send my artwork?
Email your artwork, contact information and order information as described in the 'Artwork' tab on our Impressions page to impressions@riogrande.com

Is there a maximum file size to send for my custom artwork?
Please see the 'Artwork' tab on our Impressions page for detailed information on artwork requirements.

How long do hot foil stamp orders take to process?
Usually about 2–3 weeks. Once we make sure the artwork provided will deliver you the quality result Rio Grande is known for, we'll carefully hot foil stamp your items and ship them to you; as soon as we can. And then your brand will be making a more lasting impression on your customers!

What is a "plate"?
The plate (also called a die) is a block of magnesium alloy on which your artwork is etched. Once etched, the plate will provide many years of service, delivering clean, crisp stamps for your packaging items.

Can I use my plate on any product?
All Rio Grande products that are suitable for hot foil stamping feature a "HOT FOIL STAMPING" logo in the product description area. Click on the "More Info" tab to find information on stamp placement and size specifications for that particular item.

Can I just browse all the products that are okay for hot foil stamping?
Sure! On the Jewelry Display and Packaging tab of our website, look down the left side of the page. Under "Refine by," you'll see "hot foil stamping available"; click that and all stampable items will be shown for you to browse.

Will my printing plate work for all packaging sizes?
We can use a plate made for a smaller bag on a larger bag, but size often makes it impossible to go from large to small items. If you are ordering different sizes, you should have a second plate made to ensure an effective visual impact for both large and small items.

Will I be charged for additional plates?
Yes, for stamping orders that require a different size plate, a plate in the new size must be created for you.

What happens to the plate after stamping?
We will store your plate here to use it for your subsequent orders; if the plate remains unused for two years, we will contact you to ask about recycling your unused plate.

How much does hot foil stamp service cost?
Please see the Hot Foil Stamping tab for a pricing list; please keep in mind that stamping prices are for the stamping service only and do not include the packaging items that you are stamping.

What are the foil colors I can choose from?
Foil colors do change from time to time as we add new ones and drop unused ones. For the latest color selection, click on the Hot Foil Stamping tab on our Impressions page.

Laser Engraving (Tags)

What is the 'artwork set-up charge'?
The artwork setup charge is the cost of converting the artwork for use by our laser equipment and providing a proof sheet for your approval.

Will you to set up artwork if I just need letters?
Yes, your text is individual to you and must be converted for accurate reproduction by our laser equipment.

Can I see a sample of available fonts?
A sample of the block font is shown on the "Laser Engraving" tab of the Impressions page.

Can I choose my own font?
Yes, simply provide your chosen script as your artwork and we will convert the approved 'art' for use by our laser equipment and provide a proof for your approval. The 'Artwork' tab on our Impressions page contains detailed information on the requirements for artwork.

Is there a maximum number of letters I can use?
There is no maximum; provide what you want on your tags and you can decide from the proof we'll send you whether the size will suit your needs and what, if any, adjustments are necessary.

Can I engrave gold tags?
Yes. You can find our selection of gold tags online.

Can I engrave silver-filled or gold-filled tags?
No, we cannot laser-engrave silver-filled or gold-filled material because the layer of precious metal does not allow the depth of engraving produced by the laser equipment. For these tags, we recommend purchasing a stamp that you can apply to your tags as needed.

Can I engrave base-metal tags?
No; at this time, we are set up only for silver and gold; base metals behave very differently than silver under the laser. For your most cost-effective option, we recommend purchasing a stamp that you can apply to your bronze, copper, brass and other base metal tags as needed.

Is there a minimum number to buy?
Yes, the minimum purchase quantity is 10 packages per tag you choose.

Can I mix and match styles to reach the minimum purchase quantity?
No; unfortunately, the engraving equipment must be configured to each particular tag size and shape, and the minimum applies to the set-up for each tag style.

How long does it take?
Orders take approximately 2 weeks after you approve your proof sheet.

Can I return an order if I am not satisfied?
This is a custom service that includes a proofing step for your approval. We cannot accept returns on items that have been altered. If there is a defect caused by the engraving process that we did not catch we will replace those defective pieces.

Screen printing (Sunshine® Cloth)

Can I print on the black paper envelope the cloth comes in?
Yes; however, the envelope is not screen-printed, but hot-foil stamped. Please see the information on the "Hot Foil Stamping" tab of the Impressons' page for this service.

Can I print on the inside of the envelope?
No, the inside of the envelope is not printable.

Can I print on the zip-close bags my cloths come in?
After printing, your cloths are packaged flat in a single plastic bag and we cannot print on this plastic.

Can I print on front and back of the cloth?
No, the printing process is likely to damage the first print while creating the second.

Can I print on any size Sunshine® Cloth?
No, only on the original, full-size (5-1/2" x 7") cloth

What color inks are available?
Color selection does change from time to time; you will always find the current selection on the "Screen Printing" tab of the Impressions page.

Can I get more than one color printed on the cloth?
Yes; when you email us your artwork and other details, let us know you want to use more than one color, and we will put together a price quote for you based on your particular needs.

Is there a minimum number to buy?
Yes; the minimum quantity is 300; above that, you can increase in increments of 100.

How long does it take?
The process will take 3-4 weeks after you approve your proof sheet.

Custom Stamps

How large a font (point size) can I use?
The size of the stamp is constrained only by how you want to use it; we create the stamp to accommodate the height, in millimeters, of the design artwork you provide.

What is the minimum font size?
The size of the stamp is constrained only by how you want to use it; however, please keep in mind that very tiny designs (objects or text) become illegible and defeat the purpose of using a stamp in the first place.

What is the most common stamp size?
There really isn't a 'most common' size; each stamp is custom-created to the specifications of each individual customer.

What fonts are available?
We offer both a block and a script font; see examples on the Custom Marking Stamps page.

How much does a stamp cost?
A typical cost is $119 for straight shanks and $129 for bent shanks; however, it varies significantly and we can provide you a no-obligation quote once we have the details you provide in your initial email.

Is there a minimum number to buy?
No; order a single stamp or order several, it's up to you.

How long does it take?
Processing takes 5-6 weeks after you approve your proof sheet.

Printing (Trak-It Tickets® and layaway tickets)

Is there a minimum number to buy?
Yes; a minimum of one 500-ticket package is required.

Can I include an email address in addition to a street or P.O. box address?
Yes; see the printing template; the only requirement is that your information must fit into the printable area on no more than four lines of text.

Can I include a 2nd address?
Yes; see the printing template; the only requirement is that your information must fit into the printable area on no more than four lines of text.

Can I choose my ink color?
Unfortunately, no; we offer either red or black ink.

If I choose red, will my information be red on all three copies of each ticket?
No; the red ink on the stamp transfers to the top copy only, the carbonless carbon paper transfers the stamp information to the bottom two copies in black.

How long does it take?
The process takes 3-4 weeks after you approve your proof sheet.

Artwork Information for Impressions™ Services

Your logo speaks volumes about your business. You have spent valuable time getting it just right. Let Rio help you easily and effectively personalize products that professionally represent your business.

Your logo: What's required?

Artwork should be created using an illustration program such as Adobe® Illustrator®. Use the program to apply outlines to any fonts that are used in order to retain their characteristics.
Please Note:
We prefer artwork files be sent in .JPEG, .PDF, .EPS or .API formats. If you don't have the ability to create your logo in vector format, most local print shops will be able to assist you. We will work with any file type as long as it is black and white only with no grays. You will be contacted by a member of our team if there are any issues.

To reproduce well, your artwork should be crisp and clear with a resolution no less than 300dpi. In addition, artwork:

  • Must consist of black lines or letters on a white background; no colors, gradients or shading.
  • Must not have fine lines or closely-spaced lettering or lines in conjunction with heavy lines and lettering.
  • Must be the exact size of the finished impression you need (except for custom marking stamps or laser-engraved tags; artwork for these should be approx. 3" x 3").
  • Font size in the artwork should be clearly and easily readable and not be less than 10 pts.
  • File should not exceed 4 MB in size.

Submitting your logo

Please email your artwork to us; when you send the files, it is very important that you include:

  • Your name
  • Your daytime phone number
  • Your Rio Grande customer number
  • The type of order that is awaiting this artwork
    (hot-foil stamp or custom stamp, for example)
  • The dimensions of your logo
  • The item number your artwork will be applied to (only for laser engraving orders)
